Overview

The Waiting List feature helps event organizers efficiently manage ticket demand when events reach full capacity. Once tickets are sold out, interested attendees can join a waiting list, allowing organizers to gauge additional interest and allocate more spots if needed.


How the Feature Works

1. Enabling the Waiting List

By default, the Waiting List is disabled. To use this feature:

  • Go to your Event > Waiting List Settings > choose Enable Waiting List

  • You’ll then be able to select which ticket types will support the Waiting List.
  • Only the selected ticket types will display the Waiting List option once they are sold out.

2. When RSVP Yes has reached the Ticket Capacity

Once the ticket reaches full capacity:

  • Users attempting to RSVP will no longer see the standard registration form
  • Instead, they’ll be shown a prompt offering the chance to Enter the Waiting List or Decline.


  • If the user chooses to join the list, they’ll see a confirmation message confirming their waitlisted status



Managing the Waiting List (For Organizers)

1. Accepting Waitlisted Attendees

Attendees who join the Waiting List will appear in the Attendee Module with a Waiting Status


Organisers can release seats for the attendees:

  • In Ticket Module: Increase the ticket quantity for the specific ticket type.


  • In the Attendee Module:  Change an attendee’s RSVP status from Waiting to Yes.


  • Confirmation Email: Send a confirmation email to the waitlisted attendee confirming their RSVP.


2. Beyond the Waitlisted List, to release more Seats and accept RSVP from the invites

Waiting List records are taken into account of the respective Ticket Quantity. The Total Ticket Quantity must be higher than the sum of the Current Attendees and those in Waiting List to allow Public to register for the same tickets.


Priority is given to those who registered in the Waiting List so as to ensure they can register for the ticket they're interested in.
